01Cancellation by the Participant

All cancellation requests must be sent by email or WhatsApp from the registered contact number.

Cancellation Charges

• 45 days or more before departure: 90% refund (10% booking amount deducted as processing charges).
• 30–44 days before departure: 75% refund.
• 15–29 days before departure: 50% refund.
• 7–14 days before departure: 25% refund.
• Less than 7 days before departure or No Show: No refund.

02Medical Withdrawal During Trek

If a participant is unable to continue the trek due to Acute Mountain Sickness (AMS), injury, illness, lack of fitness, or the advice of the Trek Leader or Medical Team, no refund will be provided for the remaining trek. Any rescue, evacuation, helicopter, medical, or additional transportation expenses will be borne by the participant or their travel insurance. See our Safety, Risk & Evacuation Consent for details.

03No Show / Late Arrival

If you fail to report at the designated pickup point or arrive after the departure time, your booking will be treated as a No Show, and 100% of the tour cost will be forfeited.

04Cancellation by Us (Force Majeure)

Your safety is our highest priority. If a trip is cancelled, postponed, or shortened due to circumstances beyond our control, including:

• Landslides
• Heavy snowfall
• Flash floods
• Cloudbursts
• Road closures
• Government or Forest Department restrictions
• Political disturbances
• Border closures
• Natural disasters
• Pandemic or epidemic

No cash refund will be issued for non-recoverable expenses already paid. Instead, Aarushi Adventures will provide an Adventure Credit Voucher equal to the recoverable amount after deducting actual expenses such as permits, hotel bookings, transport, and government fees. The voucher will remain valid for 12 months from the date of issue.

05Permit Rejection by Authorities

Some regions require government, forest, inner-line, or military permits that are granted at the sole discretion of the authorities. If your permit is rejected or withdrawn despite a valid application:

• We will refund the recoverable amount after deducting non-refundable permit application / processing fees and any actual expenses already committed on your behalf; or
• At your option, issue an Adventure Credit Voucher (valid 12 months) for the recoverable amount.
• Permit rejection due to incorrect, incomplete, or falsified documents submitted by the participant is treated as a participant cancellation under Section 1.

06Refund Processing

• Approved refunds will be processed within 7–10 working days after cancellation approval.
• Refunds will be made to the original payment method (Bank Account, UPI, Credit / Debit Card).
• Any bank charges, payment gateway fees, or currency conversion charges will be deducted where applicable.

07Booking Transfer

If you cannot join the trip, your booking may be transferred to another person up to 15 days before departure, subject to:

• Government permit rules
• Identity verification
• Additional permit or processing charges (if applicable)
